Therefore, it’s best to look at each stage of your workflow as a journey - from initial planning to final approval. By breaking down these stages, teams can identify where to streamline their workflows to increase efficiency.

For example, a typical workflow could look like this:

  • First draft

  • Editor’s review

  • Second draft

  • Proofreader or managerial review

  • Third draft

  • Client review

  • Final draft

Each individual involved in these stages is essential. Whether they are an internal stakeholder or external clients/agencies, their role will influence the setup of your workflow. Thus, it’s important to ensure they’re involved only where they need to be.

For example, when the ‘X’ team is in the drafting stage, you could create a Folder called ‘Drafts’ with limited access for just the ‘X’ team. This Folder helps to set clear expectations and minimizes interference from other teams.

After the first draft is complete, it’s time for the editor's review. To streamline this step, you could set up a specific Folder for the editor where the completed drafts can be filed and easily reviewed.

Finally, during the client review stage, where external parties may be involved, you could create a separate Folder specifically for them to maintain the privacy of internal processes.

And on top of all of that, you don’t have to constantly sync your team to the latest version of the Folder. Once you make a Folder, you only have to share a link to it once - even when changes are made to the MarkUps inside the Folder!
